    01 · The pain

    Sound familiar?

We hear the same drawers in everyone's head: the payouts drawer, the SaaS drawer, and the “I think I expensed that?” drawer. None of them are organized.

“It's April 11. My CPA wants a folder of receipts. I have 47 PDFs in Downloads and 200 unread emails.”

    — Every March / April

“Did I already write off that Adobe charge or am I about to deduct it twice?”

    — Mid-quarter, every quarter

“My bank statement shows $4,287 from Stripe. Where is the actual payout PDF? Probably gmail. Probably.”

    — On the phone with the IRS
    02 · How it works

    Connect once. Forget forever.

Two minutes today, then quietly working in the background until your accountant calls you next April.

    STEP 01

    Connect Gmail + Drive

One Google sign-in. Read-only on the inbox, app folder on Drive. We never touch anything else.

    STEP 02

    We file new receipts

Stripe, Notion, Adobe, AWS, OpenAI — already in our vendor library. Each one routes to its own folder.

    STEP 03

    Hand the folder over

In April, share /AutoFileEmail/Receipts/ with your CPA. Done. No spreadsheet, no forensics.

    03 · Folder layout

    Built for a freelancer's Drive.

Per-vendor folders by default, plus suggested top-level splits for payouts, software, hosting, travel, and clients. Customize once, run forever.

Drive permissions are made for this. Share /AutoFileEmail/Receipts/ as view-only with your accountant, give them six minutes to skim, and they have everything they need.

    • Match bank lines to PDFsFilenames include date + amount, so QuickBooks reconciliation takes minutes.
    • Personal vs business taggingPro lets you tag senders as personal — they stay out of the tax folder.
“Spent three years losing $50 here, $200 there because I couldn't find the receipt. Now my Drive looks like a real accountant runs it.”

    06 · FAQ

    Freelancer-specific questions.

I file as a sole prop. Will this work for me, or is it for businesses?

Designed for sole props. The free tier covers a single Gmail or Outlook account, which is what most solo freelancers actually need. If you also bill from a separate business email, Pro covers up to 5 inboxes.

Can I separate personal and business receipts?

Yes. On Pro, every sender can be tagged Business / Personal / Ignore. The folder structure splits accordingly, and exports include only what you want.

What about my last 3 years of receipts already in Gmail?

Buy a Backfill Pack — one-time, $29 to $99. We sweep your inbox history and file every past receipt into the same structure. Most freelancers run the 3-Year pack on day one.

Does my accountant need an account?

No. Just share the Drive folder with them. Read-only is fine. They use Drive's normal preview to read PDFs.

What if I switch from Gmail to a custom domain later?

Reconnect with the new inbox; the same Drive structure picks up where it left off. Old files stay where they are.
